What’s new in appointments?

One of the oldest and most used features is what we call the Appointments Wizard. Now we have completely redesigned it to make it faster, simpler and more powerful.

Some of the new enhancements include:

- Group Appointments: As an administrator, you can select many students and create appointments for all of them together at the same time. You don’t need to do anything to enable this feature, just access the appointment wizard and multiple students can be selected without further work.

- Search Many Tutors: One common issue is, students don’t know all the tutors schedules, so which one should the pick? Well, in Accudemia 4.5 users can select many tutors and search across all their schedules for an open slot. It’s still clear which tutor you’re viewing, so students still can decide which tutor they prefer.

- Plan Ahead: In the last step of the wizard, now it’s possible to select multiple dates and even tutors to create multiple appointments. Once the options have been chosen, just click all the dates where an appointment is needed. After picking all the appointment times, by clicking on “Next” the appointments are verified and then saved.

- Manually Create New Appointments: It’s actually not a new feature, but it was also redesigned and improved. It’s intended for administrators ‘in hurry’ that want to create a new appointment no matter what the settings in Accudemia are. Also, some might find this method to be the faster since it only requires the user to type in the important data.

Did you know? You can create groups from filtered reports

On reports: when you create and filter a report it "automatically" creates a User Group. After creating a report that you need, where you have filtered all of the students with " MATH "(Subject Areas), selected only the " Freshman "(Student Demographic) who have visited the center for " Tutoring "(Service Type) more than 3 times on a Visitor History report you decide you want to save that group and call them " Freshman needing Math Help ." You can do this after you run that report by visiting the User Accounts > Groups section on the left-side navigation panel. Once there simply click on the Report Generated Groups tab, then click on the report you just ran, and click edit .  At this point you can name the group and hit save changes and the group will now be available for you to use as a group filter in future reports.

Sign-In and Appointment Restrictions

We are excited to announce that we are introducing 2 new features today. When the students sign-in or create an appointment, now you can limit what courses and staff members to display. There are 2 types of restrictions available that you can use: The first one is the Student-Staff Member Association . This lets you assign specific staff member to specific students, so you can decide who works with who. The second one is the Service-Subject Area Association . That means that only certain courses will be displayed when a service is selected. For example, certain services like Tutoring might require all the student courses to be displayed, while a Self Study service might require the students to select a different kind of activity only for tracking purposes. The restrictions can be found under Administration > Restrictions in Accudemia 7.0. Once there, select the restriction type you want to edit.
